Who we are

Sandscape Technologies ("we", "us", "our") provides strategy, technology, trading-technology and AI services. This policy explains how we collect, use and protect personal information when you visit sandscapetechnologies.com, contact us or work with us.

Sandscape Technologies is the controller of the personal information described in this policy. You can reach us at hello@sandscapetechnologies.com.

02

Information we collect

Information you give us: your name, email address, phone number, company, role, country, the service you are interested in, budget range, timeline and anything you write in a message or enquiry form.

Information collected automatically: device and browser type, IP address, approximate location derived from IP, pages viewed, referring site and the date and time of your visit, collected through cookies and similar technologies as described in our Cookie Policy.

Information from others: referrals from partners or clients, and publicly available business information such as your company website or professional profile.

03

How we use information

We use personal information to respond to enquiries and arrange calls; prepare proposals and deliver contracted services; manage our client relationships, invoicing and records; improve our website, content and services; send service-related communications and, where you have agreed, occasional updates about our work; keep our website and systems secure and prevent misuse; and comply with legal, tax and regulatory obligations.

We do not sell personal information and we do not use it for automated decisions that have legal or similarly significant effects on you.

04

Lawful basis

Where data-protection laws such as the GDPR or UK GDPR apply, we rely on: contract — to take steps at your request before entering a contract and to perform it; legitimate interests — to run, secure and improve our business and respond to business enquiries, balanced against your rights; consent — for non-essential cookies and marketing emails, which you can withdraw at any time; and legal obligation — to keep records and meet tax, accounting and regulatory requirements.

05

Recipients and processors

We share personal information only where necessary with: hosting, email, CRM, analytics and scheduling providers that process data on our behalf under written agreements; professional advisers such as accountants, auditors and lawyers; subcontractors engaged on a project, under confidentiality obligations; and authorities where required by law or to protect our rights.

Each processor may use the information only to provide its services to us.

06

International transfers

Our team and service providers may be located in different countries. Where personal information is transferred outside the country where it was collected, we use appropriate safeguards such as adequacy decisions, standard contractual clauses or equivalent mechanisms recognised under applicable law.

07

Retention

We keep enquiry information for up to 24 months after our last contact if no engagement follows. Client and contract records are kept for the duration of the engagement and for up to 7 years afterwards to meet legal, tax and accounting requirements. Analytics data is kept in aggregated or pseudonymised form for up to 26 months.

When information is no longer needed, we delete or anonymise it securely.

08

Your rights

Depending on where you live, you may have the right to access the personal information we hold about you; correct inaccurate information; ask us to delete it; restrict or object to certain processing, including direct marketing; receive your information in a portable format; and withdraw consent at any time without affecting earlier processing.

To exercise a right, email hello@sandscapetechnologies.com. We will respond within one month, or within the period required by local law. You may also complain to your local data-protection authority.

09

Security

We use technical and organisational measures appropriate to the risk, including encryption in transit, access controls with least-privilege permissions, multi-factor authentication for administrative access, logging and regular review of our providers. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the relevant authorities of a breach where the law requires it.
